F.A.Q.

Get answers to frequently asked questions about Beyond the Classroom Tour & Travel.

Our educational and performance tours take your students far beyond sightseeing with 100% customized learning experiences. Whether your curriculum area is Art, Broadcasting, Dance, Fashion, Marketing, Music or Theatre, we will work with you to create your perfect itinerary.
Accommodations (quads for students and typically singles or doubles for directors and chaperones), transportation, all hotel taxes and baggage handling fees, excursions, activities, theatre tickets, pre-booked admissions, performance/workshop arrangements, meals as specified on your itinerary, as well as 24/7 access to your Tour Director.
Meals that are specified on your itinerary as “at your expense” and airline baggage fees. Triple, double and single room upgrades may also apply in some instances.
Beyond the Classroom can work with any size group and you can stay for as few or as many days as you wish. Obviously, there are certain adjustments in fees to accommodate your individual requirements (e.g., the per person cost with 56 on a charter bus will be less than if you only have 25 on the bus).
We handle everything. From the onset of customizing your itinerary with you, followed by arranging your transportation, hotel accommodations, theatre tickets, tour arrangements, workshop and seminar clinicians, studio space and meals.
Certainly, you can share this worthwhile experience with anyone. Plus, inviting more people enables you to take advantage of better group rates on airfare, meals and hotel accommodations. Ultimately, however, this is up to the discretion of your school and group leader, and many sponsors prefer that adults act as chaperones. There may be an additional surcharge for adults depending on their accommodations.
Beyond The Classroom has partnered with Group Collect Register Software. This is our registration and payment platform for your passengers and trip leaders. Planning group travel doesn't have to be stressful. In addition to online registration and payment solutions your passengers will have access to itinerary updates as well as questionnaires, forms and much more normally handled by trip leader. The goal is to make your life easier and improve group travel for everyone.
Whether it relates to your registration process, payment schedules, updates on your itinerary, medical emergency situations, dietary accommodations or something as simple as a packing list, we will keep you informed.
The group leader is responsible for assigning room pairings and submitting the information to Beyond the Classroom prior to the due date requested from the hotel. This is something the group leader can also submit on the Group Collect site.
We partner with some of the most reputable motor coach companies in the tour industry. All motor coaches are climate controlled and restroom equipped, with reclining seats, CD players, DVD monitors and panoramic windows. More importantly are the safety features. Motor coaches are equipped with fire suppression systems and new tire monitoring systems. Drivers are extensively trained and mechanics are award winners and the companies undergo extensive audits.
Depending on the city and location, we commonly work with Hilton, Doubletree, Hampton Inn, Sheraton, Four Points, Crowne Plaza, Holiday Inn and Millennium and Disney properties
Yes, we will make the necessary arrangements to include whatever meals you request. Meal requirements vary from tour to tour and city to city. Typically, it is our goal to provide you a sampling of local cuisine to get a “taste of the city” rather than a theme restaurant, unless requested.
At your request, professional security staff can be available to monitor each hotel floor from 11:00 PM to 5:00 AM, providing peace of mind for everyone on the trip. These individuals will walk the hallways and provide a detailed nightly report to the group leader in the morning.
Group Collect makes it easy for the trip leader to apply bulk credits to passengers through out the trip process as fundraising activities occur. In addition parents may set a link for grandparents, aunts, uncles, or friends to apply individual credit to a trip for birthday or holiday gifts.
Once you fill out a proposal request form, we will be in touch with you to discuss details and begin customizing your ideal trip. Please feel free to consult our website for our step by step guide to planning your trip.
